Job Description
The Executive Assistant performs a variety of administrative tasks and supports our company’s Founder and Executive Team. Executive Assistant’s responsibilities include managing calendars, making travel arrangements, and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
DUTIES AND RESPONSIBILITIES:
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage the Founders’ calendars and set up meetings
- Make travel and accommodation arrangements
- Prepare weekly, monthly or quarterly reports
- Format information for internal and external communication: memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence
- Organize and maintain the office filing system
- Complete other duties at the discretion of management
REQUIRED QUALIFICATIONS: - Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent Google Workspace/MS Office knowledge
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Superior discretion and confidentiality
- Minimum 1 year of experience in a remote Executive Assistant or similar role within the medical/healthcare industry.
- Strong knowledge of industry best practices, regulations, and technology.
- Proven experience working remotely with a background as an independent contractor or similar setup.
- Proficiency in Google Workspace and Microsoft Office tools.
- Exceptional organizational and time management skills.
- Excellent English communication skills (written and verbal).
- Familiarity with office technology, including e-calendars and communication tools.
- Experience arranging travel and accommodations.
- Superior discretion and confidentiality.
- A fast, reliable, and stable internet connection (LAN or fiber) with a backup option.
- Salary: $1,300–$1,600 per month.
- Work Type: Full-time (remote), 40 hours per week.
- Schedule: US Timezone (East Coast).
