Job Description
As Resultant grows, there is a need to support and assist in the day-to-day operations of our Dallas (Irving) office and business administration. As the Executive Assistant & Office Coordinator, you will be the point person for items related to the management of the office, facilities and safety, guest experience, supply management, shipping/receiving, event planning and execution, expense and budget management, business forms, and process/procedures. Success in this role entails treating our Resultant employees as we would our clients – ensuring that questions/issues are answered and resolved in a timely manner and that the resolution is communicated appropriately. You embody Resultant values and reaffirm them with co-workers and clients.
Consider your day-to-day responsibilities in this role:
- Office Management:
- Greet guests and follow security protocols for all guests and employees
- Shipping/receiving
- Answer the company’s main phone line and distribute voicemails
- Schedule conference rooms
- Distribute mail and manage paper records of important business documents
- Maintain the organization and beauty of our office spaces according to the standards for the particular office
- Handle inventory review for the offices, ensuring that supplies are ordered and stocked as necessary; ensuring equipment functions properly and needs are being met, coordinating with Internal IT for assistance as necessary
- Serve as the point person for building facilities, including management of maintenance tickets and safety standards at the facilities as well as handling communication from the building, share information as necessary with our Resultant employees
- Organize and oversee routine facility maintenance, repairs and improvements
- Handle access card (Key card) requests, cancellations, and inventory in partnership with our Talent and Internal IT teams
- Assist our Talent Team with the scheduling of onsite interviews, new hire sessions, and early career events to support our candidate and new employee experiences while at our office
- Assist our employees with hosting client meetings, team meeting, trainings, etc. by supporting their experience while at our office
- Assist with catering orders and coordination for special events/training and onsite visits
- Run errands as needed
- Executive Administrative Support to the C-Suite:
- Manage executive schedules, coordinate meetings and travel, and prepare documents and presentations
- Manage executive timesheets, approvals, and expense reports
- Assist our Chief of Staff with planning and hosting weekly executive leadership team meetings, quarterly board meetings, and onsite events
- Serve as a point of contact for internal and external stakeholders, handling inquiries, and managing communications
- Business Administration and Event Planning:
- Work closely with Administration and Accounting teams to handle weekly time compliance activities and communications
- Handle requests received via the administration inbox and all related forms in a timely manner
- Handle maintaining and activating business registrations and vendor/procurement portal registrations
- Handle corporate gifts for the employee experience such as life events, rewards, holidays, etc.
- Handle timely expense reporting and budget management for office supplies, office maintenance, and events
- Create and maintain up-to-date core business processes for office management and business administration; communicate standards to employees
- Corporate and special event planning and execution, serving as the event planning subject matter expert for the company
- Work closely with Internal Communications to share information about the office and events
- Work closely with the Operations Manager to serve as project coordinator as needed, or perform ad-hoc tasks.
Qualifications
Some of the qualifications and skills we are expecting include the following:
- High School Diploma or GED equivalent required
- Bachelor’s degree in office administration, management, or related field preferred
- 2+ years working in office administration or hospitality management preferred
- 2+ years working as an Executive/C-Suite assistant preferred
- Strong written and verbal communication skills with an attention to detail
- Excellent organizational and time management skills
- Notary public preferred
- Resourceful self-starter and proactiveness
- Experience with event planning and hosting
- Outstanding customer service and interpersonal skills
- Comfortable in a fast-paced environment
- Computer literate and proficient using Microsoft Suite
- Ability to handle sensitive information in a confidential manner
- Ability to utilize multiple productivity tools and reporting systems
- Ability to lift up to 30lbs occasionally
