Job Description
Rankona Mazon AB is seeking a proactive and organized Executive Assistant to support our fast-growing Amazon agency. As the Executive Assistant, you will play a critical role in streamlining our operations, preparing bookkeping and and lighter financial tasks for the accounting firm and facilitating effective communication within our team and with external partners.
Your primary focus will be to manage the schedules and priorities of our CEO, enabling him to concentrate on strategic initiatives. This position requires a detail-oriented individual with exceptional organizational skills who can handle a variety of tasks and adapt to a dynamic work environment. You are also an innovative and curious person who are using AI to be more effecient and productive.
You will need to possess excellent communication abilities and be comfortable interacting with stakeholders at all levels. Ideal candidates should thrive in a fast-paced atmosphere and have a strong drive to contribute positively to our agency's success.
In addition, you will be responsible for managing project timelines, coordinating meetings, and preparing important documents that are necessary for presentations.
You understand SoMe, LinkedIn in particular, and want to help the CEO and the agency to grow the following and increase the views of the communication continously.
You are open to evolve in the role and together with the CEO develop and finetune your role and your tasks as the agency grows.

Responsibilities
- Manage the CEO's schedule and appointments efficiently.
- Prepare and manage correspondence, reports, and documents for the executive team.
- Find, sort and prepare income and expenses to the accounting firm.
- Prepare financial and KPI reports for the board.
- Coordinate meetings and events, ensuring all logistics are handled smoothly.
- Serve as a liaison between executives and internal/external stakeholders.
- Schedule, prepare and conduct performance meetings with the employees, followed by reporting.
- Help building a talent database for future hires and keep them warm.
- Find, interview and vet future hires before introducing them to the right teams for the final part of the hiring process.
- Making sure the different teams are following their processes and get their tasks done in time.
- Making sure the teams are using ClickUp to measure their hourly input on each client and to create reports that show our profitability per client.
- Conduct research and compile data for strategic decision-making.
- Assist in the preparation of presentations and important documentation.
- Maintain a filing system and database for efficient information retrieval.
- Get AI summaries from some of the CEO's meetings and compile actionable to-dos including delegating to responsible teams and make sure things get done within set timeline.
- Helping the CEO making the agency more effecient with AI and automations.
- Conducting some of the CEO's meetings to screen potential cooperation partners, future hires or other opportunities.
- Helping planning, creating and scheduling some of the agency's and CEOs SoMe.
- Setting upp, planning, creating and scheduling the agency's email newsletter.
- Making sure our employees understands and lives our core values - every day.
- Helping build company culture and create teambuilding and relation building activities.
- Proven experience as an executive assistant or in other administrative roles.
- Excellent written and verbal communication skills in English.
- Strong organizational and multitasking abilities to manage various tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Teams.
- Experience in bookkeeping preparing (receipts, invoices, income/expenses)
- An understanding of company financials to be able to prepare financial reports to the board.
- Experience in using Canva (or similar design programs and a will to learn Canva).
- Experience in using AI (or a will to quickly learn how to use it), such as ChatGPT, Claude, Gemini, Jasper etc.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Experience with e-commerce platforms, especially Amazon, is a plus, but not necessary.

We are initially looking for a part time solution. Together with the growth of the agency the goal is to make this a full time job.
