THE OPPORTUNITY

We are seeking a highly organized and detail-oriented Talent Acquisition Administrator to support our recruitment operations with a strong emphasis on calendar management / support and recruitment reporting / analytics. Reporting to the Head of Global Talent Acquisition. This role is pivotal in ensuring seamless interview scheduling across global time zones, maintaining up-to-date hiring metrics, and supporting candidate communications. The ideal candidate thrives in a fast-paced, high-intensity environment and is passionate about creating operational excellence within the candidate journey and hiring process.


RESPONSIBILITIES:

  • Develop strong internal relationships - being a reliable resource on the People team
  • Calendar management for the Head of TA, and overall calendar support for the TA Org., as needed:
  • End-to-end scheduling of candidate interviews—virtual, in-person, panel, and executive—across multiple time zones and locations
  • Coordinate with hiring managers, interviewers, and candidates to ensure availability and alignment
  • Manage last-minute changes, reschedules, or cancellations with professionalism and agility
  • Maintain recruitment calendars, send meeting invites, and ensure proper preparation and materials are shared with stakeholders
  • Maintain applicant tracking system (Comeet) records and ensure data accuracy
  • Assist with drafting and posting job descriptions to various platforms
  • Handle offer letter preparation, reference checks, and pre-boarding documentation
  • Generate regular recruitment reports and dashboards 
  • Monitor and report on candidate experience and hiring process efficiency
  • Support compliance with data privacy and recruiting-related documentation
  • Help streamline and optimize scheduling and communication workflows
  • Contribute to special projects within the People team

Requirements

EXPERIENCE & SKILLS:

  • 2+ years in a Coordinator or Admin position, preferably in Talent Acquisition, HR, or Recruiting
  • Proficiency with Google Suite
  • Excellent email and calendar management skills
  • Ability to handle complex details with sensitivity and confidentiality
  • Ability to work on multiple tasks, manage competing priorities and understand where to prioritize, meet deadlines and work with a sense of urgency in a high intensity environment
  • Location: Must be located in the Tri-State area with flexibility to be at NYC HQ, as needed
