Position Summary 

The Coordinator is a key member of ACP’s Event Industry Education & Training team, supporting the planning, execution, and follow-up of in-person conferences throughout the year. This role requires a resourceful, detail-oriented, and highly motivated individual with a foundational understanding of event coordination and a desire to grow within a fast-paced environment. 

The ideal candidate is a proactive self-starter who asks thoughtful questions, thinks critically to solve problems, and manages multiple priorities with minimal oversight. Strong communication skills, excellent organization, and a collaborative mindset are essential, as this position works closely with internal teams and external stakeholders to deliver high-quality education programming and exceptional event experiences.  

 

Essential Functions/Major Responsibilities

Conference & Program Support 

  • Manage shared department inboxes, respond to inquiries promptly and professionally, and involve appropriate staff as needed. 
  • Track programming deadlines using the department master calendar and ensure all content, materials, and deliverables are submitted on schedule. 
  • Support event speaker management: send and track invitations, maintain responses, schedule planning calls, and ensure timely delivery of speaker session materials. 
  • Support high-profile and VIP participants by preparing speaker and executive briefing materials and tracking associated follow-up items. 
  • Liaise with presenters to coordinate layouts, onboarding, printing, and onsite logistics for conferences and events. 
  • Coordinate with the ACP event registration lead to confirm speaker registrations and credentials. 
  • Maintain supply inventory for the Industry Education team and support the implementation of new program ideas. 
  • Collaborate across the Events department and offer general support as needed. 
  • Represent the organization with a positive, professional, and service-oriented demeanor. 

Event On-site Support 

  • Provide onsite support during ACP conferences, including registration desk assistance and program coordination. 
  • Organize and ship conference materials for off-site events and conferences ensuring accuracy, timeliness, and arrival. 
  • Oversee onsite logistics such as poster set-up, volunteer coordination, and execution for assigned sessions. 

Data & Content Management 

  • Track and report on speaker participation and session metrics; maintain internal dashboards for reporting. 
  • Organize and archive final event materials and documents. 
  • Update speaker and session information in ACP’s speaker management system (Cadmium). 
  • Assist in posting session recordings and preparing content for on-demand access after events. 

 

Education, Experience, Skills 

  • Bachelor’s or associate degree in hospitality, communications, or a related field; or a combination of relevant education and professional experience. 
  • 1–2 years of professional experience (including internships) in events, hospitality, communications, marketing, or related field. 
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. 
  • Strong organizational and project management skills, with the ability to prioritize tasks, meet deadlines, and manage multiple assignments in a fast-paced environment. 
  • Proactive and resourceful mindset with the ability to anticipate needs, ask clarifying questions, and solve problems independently. 
  • Experience with Cadmium or similar speaker/content management systems is a plus. 
  • Excellent oral and written communication skills, with a demonstrated ability to follow through on assignments, meet deadlines, and maintain professional interactions. 
  • Collaborative team player with strong interpersonal skills and the ability to work effectively across all levels of an organization. 
  • Committed to providing timely, professional, and solution-oriented customer service. 
  • Interest in learning about the clean energy industry and key market trends. 
  • Willingness to travel 15–25% annually, including occasional weekends for event support. 
  • Ability to lift up to 30 lbs. with assistance and support event setup and shipment logistics as needed. 

 

Job Conditions
We are a fast-paced, high-energy organization with a very ambitious agenda and a staff that is highly motivated. This position may experience high-level work demands and independent decision-making under tight timelines. Occasional travel outside of the Washington, DC area for meetings or events required. Applicants must be currently authorized to work in the United States on a full-time basis. ACP will not sponsor applicants for work visas.  

We reasonably believe that the base salary range for this position is $55,000-65,000 annually. At ACP, a wide range of factors are considered when making compensation decisions including and not limited to skill set, experience, training, education, knowledge, and other business and organizational needs.
