Job Summary

The UBC Faculty of Medicine, through its Office of Postgraduate Medical Education (PGME), provides postgraduate medical training in 73 Royal College and 2 Family Medicine training programs. The programs span multiple training sites and are distributed to clinical academic campuses and affiliated regional centers across the province. To accommodate the government funded increase in MD undergraduate graduates, the PGME program has been increasing the number of residents accepted into its programs. Since 2003 the number of residents has grown from 700 to 1400 in 2020 and is planned to expand significantly further from 2023 through 2028.

This role is responsible for supporting the PGME Anti-racism, Equity, Diversity and Inclusion (AREDI) portfolio and will liaise with and support the efforts of relevant subcommittees under this portfolio.  Reporting directly to the PGME Senior Manager, Learning & Quality Improvement, this role will be responsible to support the PGME AREDI Faculty Leads, in developing, implementing and managing a range of initiatives within the portfolio, to support the strategic goals of PGME and the University.

Works closely with the Faculty Leads for AREDI as well as the Postgrad Deans office leadership and Faculty Development, to ensure that innovative and responsive supports and systems are employed to support the Postgraduate Programs, residents, faculty and staff.

Organizational Status
The PGME  AREDI Manager reports to the PGME Senior Manager, Learning & Quality Improvement.  The role will work closely with the PGME AREDI Faculty Leads, as well as the PGME Administration Director.  The  AREDI Manager will collaborate with various other portfolios within the PGME office, as well as other partners in the University supporting AREDI initiatives.  May receive direction from the PGME Deans, and other PGME Managers.

Work Performed

Support Initiatives

  • Under the direction of the Senior Manager, leads strategic projects and initiatives as identified by the PGME AREDI Faculty leads, to further the goals of the AREDI portfolio.
  • Consults on anti-racism policies and practices with Undergrad (UGME), the REDI (Respectful Environments, Equity, Diversity & Inclusion), and the Faculty of Medicine in efforts to create alignment;
  • Establishes relationships with internal and external partners in order to coordinate AREDI efforts across multiple units and in a diversity of environments;
  • Leads the data management for AREDI initiatives and develops data strategies to measure reach and impact of programming initiatives.
  • Responsible for strategic data collection and project reporting in order to inform program development and delivery.
  • Analyzes projects through the project life cycle, anticipating and mitigating potential risks and providing advice on the resolution of issues as they arise.
  • Identifies or develops resources, guidelines, systems and procedures required to implement projects/initiates and increase community and partner engagement.

Training and Engagement

  • Develops and implements workshops, courses and materials working with the AREDI Faculty leads, for the Postgrad AREDI Portfolio
  • Works closely with the AREDI Faculty leads the Senior Manager PGME to develop, design and implement training and educational opportunities targeted at the Postgraduate community including residents, faculty and program administrators.
  • Liaise with UBC’s Faculty Development office to synergize faculty development processes as well as assisting with the delivery of faculty development events related to PGME AREDI.
  • In collaboration with the AREDI Faculty Leads, identifies new initiatives, policies, and processes supporting Anti-racism, Equity, Diversity and Inclusion in Postgraduate Programs and across PGME, and supports implementation once approved through appropriate Postgraduate Leadership channels

Portfolio Administration

  • Assists with the activities of the AREDI Subcommittee meetings such as developing agenda items, preparing documentation, overseeing meeting arrangements, and documenting discussions/action items for follow up
  • Participates as a member of the AREDI Subcommittee and provides regular updates on work performed, upcoming and proposed initiatives, and gathers feedback to enhance AREDI outreach and support initiatives
  • Works with the PGME Senior Manager in the financial planning and budgeting to support the AREDI portfolio on an annual basis; ensures compliance with UBC financial reporting and UBC FOM/PGME Compensation Terms

General Administration

  • Provides administrative project support to the Postgrad Office as required.
  • Performs other duties related to the qualifications and requirements of the job and will be required to act as back-up to other positions as needed.


Consequence of Error/Judgement

This role provides an integral support to the AREDI portfolio within the Postgraduate office.  Errors in judgement or an error of commission or omission may seriously impact the image and reputation of the Postgraduate office, Faculty of Medicine and University.  Often required to make independent decisions. Required to exercise good judgment and discretion.  Tact, diplomacy and confidentiality are required at all times. Accuracy, attention to detail, and consistency are crucial. Sensitivity to faculty, resident or staff concerns and the ability to empathize with and support all individuals on an individualized, empathetic basis is required.

Large volumes of confidential data exist in websites and databases developed to support academic, administrative and research within the Faculty of Medicine. Errors in judgment could severely impact the security and privacy of data, compromising the Postgrad Office as well as the Faculty of Medicine.


Supervision Received
Reports to the Senior Manager, Learning & Quality Improvement, PGME. Takes direction from the PGME Faculty Leads for the AREDI portfolio and the PGME Administrative Director.  May take direction from the PGME Deans, PGME Senior Manager and PGME Accreditation Manager.  Works independently, under minimal supervision. Work is assigned within established priorities and reviewed in terms of effectiveness.

Supervision Given
May supervise or provide direction to Program Assistants supporting program EDI portfolios.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of three years of related experience, or the equivalent combination of education and experience.

Willingness to respect diverse perspectives, including perspectives in conflict with one’s own.

Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusion.

Preferred Qualifications

Experience with project or program management and event coordination an asset.

Strong communication skills, both verbal and written, with a demonstrated ability of disseminating complex information to audiences.

Demonstrated ability to work effectively as part of a team, collaborating effectively with a variety of partners and across various projects.

Preference will be given to candidates with previous experience working in areas of accessibility, diversity, equity.

Ability to connect and engage with marginalized communities based on credibility or gained from lived experience.

Experience managing difficulty conversations and a proven ability to facilitate, mediate, and resolve conflict.

Ability to be thorough, accurate, and have a high level of attention to detail.

Ability to effectively manage multiple tasks and priorities.
