POSITION SUMMARY
The Resource Manager plays a critical role in ensuring the efficient allocation of resources (personnel and time) across multiple projects within the firm. The person in this role is responsible for working with Project Managers to develop project plans, coordinate resources, and manage workload across the office.
Primary Responsibilities:
Resource Allocation & Planning:
- Manage and allocate staff resources across multiple office locations and projects based on project requirements and deadlines.
- Monitor project timelines and staff allocations with Project Managers and adjust allocations as necessary to ensure that resources are being used efficiently.
- Coordinate with staffing group leaders and project managers to identify and assign resources staff resources for each project phase.
- Ensure proper staffing levels are maintained for all projects by assessing the workload and availability of personnel.
- Oversee the distribution of workloads among the design and technical teams, ensuring that no team members are over or under-utilized
Workforce and Talent Management:
- Track staff utilization rates and ensure that team members are working at optimal capacity.
- Track assignments keeping in mind staff development and firm needs
- Provide staffing forecasts and recommendations for upcoming recruitment and staffing needs
- Liase with Strategic Talent Management leadership team for performance issues and staff development.
Reporting:
- Collaborate with Data Analytics staff to develop and maintain reports to track utilization and resource allocation.
- Proactively identify and address resource bottlenecks or potential delays.
- Maintain project backlog report and workload forecasts.
Firm Alignment:
- Work closely with Marketing team to understand upcoming project and proposal needs from a staffing availability perspective
- Provide regular updates to senior management on resource capacity, project progress, and any challenges related to resource management.
- Work with firm leadership to understand priorities across project needs as expressed by Project Managers.
Process Improvements:
- Identify areas for improving resource management processes and suggest strategies for increasing efficiency.
- Stay current on industry best practices and resource management tools to streamline processes.
- Implement best practices for resource planning, monitoring, and reporting.
Education/Skills/Experience:
- Bachelor degree in Architecture, Construction Management, or related field.
- Minimum eight (8) years of experience working in resource management, project management or operation within an architecture firm or professional service firm in design, engineering or construction industry.
- Familiarity with architectural design processes, roles, workflow and deliverables, project budgeting and time management principles.
- Experience in managing multi-disciplinary teams (e.g., architects, designers, engineers).
- Knowledge of project management methodologies (Agile, Waterfall, etc.) is a plus.
- Experience with Power BI, Smartsheet, Trello, Lexion)
- Understanding of capacity planning, demand forecasting, and skills management for professional design staff.
- Proficiency in resource management software (e.g., Deltek, Microsoft Project, or similar tools).
- Understanding of the tools used by design staff including (Revit, AutoCAD, Rhinoceros, Bluebeam)
- Strong organizational and time management skills
