Operations Director VA

In this role, you will be responsible for leading internal operations, ensure cross-departmental alignment, and drive process excellence across the company. You will act as the central hub for coordination and execution across departments, serving as the right-hand to the business owner. Key Responsibilities
The Operations Director VA will manage and lead internal teams, including Sales Reps, Agents, and Admin Support, ensuring smooth task flow, consistent communication, and performance accountability. This role involves oversight of daily operations, process refinement, marketing execution, and performance tracking.
- Client Retention & Post-Sale Support:
- Serve as the main point of handoff once a deal is closed by the Sales Representative.
- Oversee client onboarding and retention experience to ensure satisfaction and smooth transitions.
- Cross-Departmental Coordination:
- Act as the communication bridge between Sales, Admin, Field Teams, and other departments.
- Ensure all teams are aligned on deliverables, timelines, and expectations.
- SOP Alignment and Process Streamlining:
- Review existing SOPs and identify gaps or redundancies.
- Create and implement improved operational procedures.
- Standardize internal workflows and support proper documentation.
- Daily Operations Oversight:
- Monitor and support day-to-day operational execution.
- Lead daily internal operations meetings.
- Provide oversight, direction, and accountability for team members.
- Deliver regular reports and updates to leadership, highlighting performance, risks, and recommendations.
- Strategic Operational Leadership:
- Drive high-level initiatives and ensure strategic goals are met across departments.
- Implement marketing strategies in coordination with leadership.
- Track fleet performance, optimize rental coordination, and maintain service quality.
- Oversee financial and performance reporting, identify KPIs, and lead corrective action planning.
- Coordinate with JV partners and support relationship management with external stakeholders.
- Proven experience managing teams and operations in a high-paced, remote-first environment.
- Deep understanding of sales processes and CRM systems (though not required to close deals).
- Strong project management and coordination skills.
- Excellent communicator with the ability to lead virtual teams and maintain accountability.
- Highly organized, analytical, and solution-oriented.
- Comfortable leading daily operations meetings and reporting directly to leadership.
