Our partner, DesignWealth, a growing advisory firm in Denver, CO, is seeking a Client Experience Coordinator looking to create a professional, polished, and high-energy atmosphere for every guest and team member while providing essential administrative and front office support to both our Design Wealth and Design Health divisions. This role requires someone who is creative, detail-oriented, comfortable with technology, and committed to delivering an exceptional experience in every interaction—both client-facing and behind the scenes.

This is an on-site role in Englewood, CO.


Key Responsibilities:

  

Client & Guest Experience (All Divisions)

  • Warmly greet guests, clients, and vendors in person and by phone, setting a positive and polished tone.
  • Maintain and refresh office hospitality stations including beverage setup, snack baskets, and conference room prep.
  • Prepare meeting rooms for appointments and internal meetings—ensuring the environment is clean, welcoming, and on-brand.
  • Coordinate special touches such as birthday gifts, handwritten notes, and milestone celebrations.

Design Wealth Responsibilities

  • Schedule and confirm client and prospect meetings with advisors; coordinate with planning team for follow-up and preparation.
  • Update and maintain accurate client data and notes in Salesforce CRM.
  • Manage conference room calendar for financial planning meetings and ensure all materials and refreshments are in place.
  • Prepare and send client gifts, class invitations, event materials, and handwritten cards for relationship-building.
  • Support the planning and coordination of client events, retirement classes, and seminars—track RSVPs and assist with logistics.

Design Health Responsibilities

  • Schedule and confirm enrollment and follow-up appointments for health benefits clients.
  • Manage the executive calendar and coordinate meetings with vendors and group benefits clients.
  • Process enrollment applications and input data accurately into CRM systems.
  • Monitor the "Enrollments" email inbox and respond to client inquiries in a timely, professional manner.
  • Collect required form information via phone or email and ensure proper documentation in CRM.
  • Assist clients with insurance-related questions such as:
    • Payment status (initial and recurring)
    • Accessing insurance portals and printing temporary ID cards
    • Enrollment troubleshooting

Office Operations & Administration

  • Maintain cleanliness and presentation of lobby, kitchen, and shared spaces throughout the day.
  • Keep beverage stations and snack supplies fully stocked; order supplies via Amazon/Walmart as needed.
  • Maintain and troubleshoot office equipment (e.g., printer supplies, shred service, paper inventory).
  • Organize and scan sensitive documents and ensure all client files are managed securely and in compliance with firm policies.
  • Load/unload dishwasher, restock office supplies, and oversee general tidiness of the office environment.

Requirements

Qualifications:

  • 2–3 years of front office or client-facing administrative experience, preferably in professional or health/financial services.
  • Proficient with Microsoft Office 365, Salesforce, Microsoft Dynamics, and general CRM/data entry systems.
  • Excellent verbal and written communication skills with a polished, professional demeanor.
  • Highly organized and capable of managing multiple priorities with efficiency and follow-through.
  • Creative mindset with a knack for identifying ways to improve client experience and office operations.
