Position: Full Time, hourly, non union, non exempt.
JOB FUNCTIONS
- Acts as a receptionist to the offices of the SLT - answering phones, greeting guests, and representing PVH Senior Leadership.
- Receives and transmits communication through the office of the SLT as needed.
- Types and distributes agendas and various meeting minutes from draft and/or transcribes from recording.
- Maintains files of minutes (excluding individual department).
- Processes letters, memos and other forms of communication as directed by the SLT.
- Retrieves and prints database reports as required for circulation and distribution.
- Develops and revises documents from drafts as requested.
- Manages the petty cash box in administration: obtains signatures and receipts when reimbursing, reconciles accurately, replenishes when funds are low, travels to bank to cash reimbursement checks.
- Coordinate with Human Resources and SLT with any special projects related to marketing, fundraising, employee engagement, presentations, reports or other projects as needed.
- Assists with community events and communication to coordinate and represent PVH to the Lincoln community as requested.
- Updates PVH website content and collaborates with external agency to maintain accurate information on the website.
- Monitors supplies for the color copier in Fiscal and office supplies in that office shared space.
- Assists with compiling materials for grant proposals and support SLT in submission and reporting of such grants.
- Completes special projects as assigned.
Quality Improvement
Actively participates in the Hospital-wide Quality Improvement Program, actively supports and implements Department-specific Quality improvement initiatives and projects, recommends process improvement as appropriate, reports any quality issues in service delivery and consistently commits to a focus on quality improvement and organizational excellence.

To this regard, the incumbent will be expected to participate in emergency/disaster preparedness planning and drills as requested. When called upon during a real life disaster/emergency event, the incumbent will be expected to participate in the Hospital’s response to this event, within the scope of professional and personal ability to do so.

Requirements
High school diploma, advanced assistant / office management / coordination experience and skill with at least 2 years of experience. Advanced computer literacy (Office365, Internet tools, etc).
Excellent written and verbal communications skills.
Professional appearance and demeanor and willingness to work collaboratively across the organization at all levels.
Self-motivation and willingness to learn.
