Role: Strategic Executive Assistant – Operations & Logistics (Spanish-Bilingual)

Work Arrangement: Fully Remote

Job Type: Independent Contractor, Full-time

Work Schedule: Monday–Friday, with at least 8:00 AM – 5:00 PM Mountain Time, with flexibility for urgent items

Location: Remote, open to candidates in LATAM

Role Overview:

Our partner is seeking a highly organized and proactive Strategic Executive Assistant – Operations & Logistics to support a hands-on CEO managing multiple fast-growing businesses. This role goes beyond traditional executive support—combining calendar and inbox management with responsibility for tracking high-priority projects, coordinating logistics for physical goods, and maintaining operational clarity across ventures. The ideal candidate will be a systems thinker who can keep the CEO on track, streamline communication, manage import/export activities, and ensure strategic goals are consistently met on time.

Core Responsibilities

  • Executive Support: Manage the CEO’s schedule, inbox, meetings, and task list with precision.
  • Project & Goal Management: Track ongoing priorities and keep the CEO accountable to monthly and yearly goals; organize ideas and projects in order of urgency or completion.
  • Operational Efficiency: Maintain SOPs, coordinate team logistics, and support organizational systems across both companies.
  • Communication Management: Draft professional emails for internal and external stakeholders; maintain timely and warm communication with partners and clients.
  • Research & Reporting: Conduct market research, product deep-dives, competitive analyses, and acquisition candidate reviews—then present concise summaries.
  • Import/Export & Logistics Support: Assist with coordination of product logistics, particularly across manufacturing, import/export processes, and timelines.
  • Tool Ownership: Operate tools such as QuickBooks, Microsoft Office, AI platforms (ChatGPT, Perplexity), Amazon Seller Central, and Shopify as needed.

Tools & Communication Channels Used by the Team:

  • Google Workspace (Docs, Sheets, Calendar, Gmail)
  • Microsoft Office Suite (especially Excel and Outlook)
  • QuickBooks (strongly preferred)
  • Amazon Seller Central / Shopify (nice-to-haves)
  • Pipedrive, Notion and other CRM software
  • ChatGPT / Perplexity / Claude (for drafting, research, SOP writing)
  • Zoom / WhatsApp / OpenPhone

Required Skills / Experience:

  • 5+ years experience supporting C-level executives in high-growth or multi-entity environments.
  • 2+ years of logistics experience for physical goods for a manufacturing company with import and export experience
  • 1+ years of Project Management experience
  • Strong command of Microsoft Office, QuickBooks, Shopify, Amazon Seller Central, and AI tools.
  • Deep organizational skills—ability to handle multiple priorities, overlapping deadlines, and cross-functional stakeholders.
  • Excellent writing and communication skills—must be able to ghostwrite professional emails and communicate with both internal staff and external clients.
  • Research-savvy—comfortable synthesizing information from multiple sources and turning it into clear action items.
  • Familiarity with M&A, legal document prep, or investor relations is a major bonus.
  • Fluent in English with a neutral accent—must be easy to understand in fast-paced business conversations.
  • LATAM preferred, given cultural fluency and timezone alignment.
  • Spanish is a plus, especially for occasional translations and informal communication
