Essential Duties and Responsibilities
- Monitors aged accounts receivables and follows up with customers when accounts exceed 40 days past due
- Makes calls, e-mails or checks websites for payment status dependent on customer account
- Researches short pay and overpay issues, and makes necessary adjustments to customer accounts when needed
- Ensures the total cashed check from customers matches the deposits made into the customers’ accounts
- Enters accounting information from all sources into accounting system
- Ensures all communications are documented in the Collections screen under the customer's account code
- Follows up on all communications on a weekly basis until payment is received
- Reviews accounts with web portals/access for current status of all invoices to assure they have been received and will process for payment when due
- Investigates short pay/overpay issues and makes necessary adjustments where needed
- Enlists agents, sales and customer service to assist with resolving issues as needed
- Communicates problem accounts with manager
- Enters necessary adjustments into either TMW or GP, whichever is appropriate
- Verifies adjustments are done in timely manner, assuring the correct account numbers have been used for the adjustments
- Follows the transaction through to assure all parties, including trucks and agents, are accurately adjusted
- Ensures ACH/EDI deposits are cashed off accurately and in a timely manner
- Understands when deposits can be done in TMW and when best handled in GP
- Organizes checks and remittance information for scanning to the bank
- Watches carefully to make sure total checks and deposit amounts balance
- Cashes off checks accurately and timely noting any differences in amount billed to amount paid on remittance advice
- Keeps track of unapplied money to follow-up on at a later time when necessary
- Investigates instances of short pay to find the root cause
- Alerts manager to any potential problems such as excessive short pays/overpays
- Helps identify billing problems such as incorrect fuel surcharge to the manager
- Ensures inquiries to customers, agents, customer service and dispatch are done in a courteous manner
- Certifies all adjustments are made to receivables as well as the agent and truck based on the reason
- Confirms agent offices are included in the communication regarding write offs
- Deposits/batches are posted up and the bank deposit function is performed in GP
- Makes sure reports are printed and filed as required
Requirements

- The ability to effectively prioritize responsibilities and meet assigned deadlines
Education, Experience, and Other Requirements
- An associate’s degree in a relevant field of study
- 4 years of relevant experience
- Equivalent combination of education and experience
- Intermediate knowledge Microsoft Excel, knowledge of Great Plains desirable
The AR/Collections Specialist is primarily located in a climate-controlled office environment with moderate noise levels but may experience other physical environments while traveling. Physical requirements include:
- Using computer hardware and software for extended periods of time (repetitive motion)
- Sitting for extended periods of time
- Must be able to lift up to 25 pounds occasionally
