Position Overview

We are looking for an enthusiastic and resourceful Chief of Staff to join our growing consulting company—a pivotal early-career role designed for someone who is a proactive problem-solver, thrives in a fast-paced environment, and is eager to take on new challenges as the company scales. This individual will serve as an operational right-hand to the Managing Partner and a multi-functional contributor across the business. The role offers a rare opportunity to be deeply embedded in executive support, client delivery, internal operations, HR, and strategic initiatives in a fast-growing digital health consulting firm.

You’ll alternate between being an assistant, junior consultant, event planner, HR designee, and general office hero—no two days will be the same.

Key Responsibilities:

1. Executive & Operational Support

  • Provide direct administrative support to the Managing Partner:
    • Calendar scheduling, inbox oversight, and proactive follow-ups.
    • Scanning and organizing documents via Kodak Capture Pro into Dropbox.
    • Preparing briefing materials and handling time-sensitive communications.
  • Track meetings and deliverables, ensuring timely execution.
  • Research software, AI tools, and vendors; schedule demos and assess capabilities.

2. Junior Consultant (Client-Facing Support)

  • Attend client meetings—both as a listener/note-taker and active participant.
  • Lead internal or follow-up meetings when required; compile post-meeting reports.
  • Create client deliverables including slide decks, comparison tables, and summaries.
  • Communicate clearly and professionally with clients and internal teams.
  • Occasionally assist in resolving client concerns, ensuring issues are handled professionally and efficiently.

3. Office & Events Coordination

  • Keep the office environment smooth and comfortable:
    • Manage Target orders/supplies: snacks, seltzer, water, coffee
    • Coordinate space management and building liaison activities.
  • Arrange travel logistics: book flights, hotels, conference itineraries.
  • Monitor and manage travel expense reports.
  • Prepare for events and offsites, including supply orders and scheduling.

4. Human Resources & Team Operations

  • Support onboarding of new hires and maintain accurate personnel records.
  • Keep time tracking tools like Tempo up to date.
  • Act as the HR designee to address minor conduct issues (e.g., punctuality).
  • Assist with employee engagement initiatives and internal comms.

5. IT & Sales Operations Support

  • Manage IT onboarding: hardware/software setup, coordination with vendors.
  • Support company systems infrastructure under external IT guidance.
  • Provide administrative support to the sales team, including tracking sales metrics.
  • Help streamline processes to improve efficiency.

Qualifications

  • 4 Year Bachelor’s degree.
  • 1–2 years of experience (internships or entry-level roles) in operations, administration, or customer service is a plus.
  • Strong organizational skills and the ability to juggle multiple tasks.
  • Excellent communication and interpersonal skills.
  • Comfortable working with basic IT tools and systems (e.g., Microsoft Office, Google Workspace).
  • Eager to learn, adaptable, and able to work in a team-oriented environment.
  • Problem-solving mindset with a willingness to take initiative.
  • Tech savvy.
