Job Description

The Sr. Executive Assistant provides administrative support in a dynamic environment. This role requires exceptional organizational skills, discretion, and the ability to manage multiple responsibilities efficiently. The Sr. Executive Assistant will handle communications, coordinate meetings and appointments, and oversee day-to-day administrative operations to ensure organizational effectiveness. 

  • Manage and optimize schedules, including meetings, appointments, and other engagements. 
  • Assist with special projects and initiatives as directed by managers. 
  • Act as a liaison between internal teams and external stakeholders. 
  • Prepare correspondence, documents, agendas, meeting minutes, and presentation materials. 
  • Respond promptly to calls and requests, ensuring timely follow-up on priorities and decisions. 
  • Proactively identify ways to create efficiency and clarity in daily operations. 
  • Track progress of key projects and report updates as needed. 
  • Facilitate internal and external meetings, ensuring agendas, materials, and follow-ups are managed effectively. 
  • Troubleshoot issues promptly and coordinate quick resolutions during meetings and projects. 
  • Manage appointments and schedules for key stakeholders. 
  • Ensure devices (laptops, phones, printers) and remote office setups are fully operational. 
  • Handle confidential and sensitive information with discretion and integrity. 
  • Perform general office duties, including maintaining a welcoming environment and assisting with remote and in-office support. 
  • Manage supplies, coordinate deliveries, and keep the workspace organized and efficient. 
  • Maintain awareness of company priorities and act as a thoughtful, trusted representative of the team. 
  • Complete other related duties as assigned. 

QUALIFICATIONS 
Education: 

  • Bachelor’s degree or equivalent work experience in business administration, communications, or related field preferred. 

Required: 

  • Minimum of 20 years of experience in an executive support role. 
  • Proven experience managing both professional and administrative responsibilities. 
  • Commitment to delivering a high level of customer service. 
  • Strong project management and organizational skills with meticulous attention to detail. 

The annual salary range for this position in the San Diego market is between $109,000 and $138,000 and dependent on experience.
